Better Bots & Revenue/Cost Share Billing

We updated FLG 360 last night, rolling out major improvements to bots, lead actions and the options you have for billing your lead buyers and paying your introducers.

Here’s the details of the new features and improvements:

  • Improved Bots Features & Interface: Bots have been improved with new ‘Change Status’ and ‘Assign to User’ actions.  You can also now set a task to any user/group rather than just the user assigned to a lead.  The user interface has been standardised with the lead actions interface so adding bot actions and lead type actions works the same way.  As a side note, the feature is now just ‘Bots’ instead of ‘Contact Bots’.
  • Customise Task Descriptions in Lead Type Actions: Until now, when using the ‘Task User’ lead type action, the task would always read ‘Lead Notification’.  Now, you can have the task say anything you like.  To create a priority task, use the new tick box under ‘Task User’ rather than selecting ‘Priority Task User’.
  • Bill Lead Buyers Based on Lead Cost: There’s now the option to charge your buyers a % of lead cost.  Lead cost can either be an amount manually entered onto the lead (or received from the lead provider), or the payments that the system automatically makes to your introducers.  You can make a charge based on the cost as a % at lead acceptance, qualification and conversion.  For example, you could choose to sell leads to buyers at 125% of cost, or charge 100% cost + a fixed amount.
  • Pay Introducers Based on Lead Value: There’s now the option to pay your introducers a % of lead value.  Lead value can either be an amount manually entered onto the lead, or the charges that the system automatically makes to your buyers.  You can make a payment based on the value as a % at lead acceptance, qualification and conversion.  For example, you could choose to pay an introducer 50% of what you earn, or 10% of your earnings plus a fixed amount.

Pop Up Email/Task Details & Quick Filters

FLG 360 has been updated earlier today.  This update should clean up the homepage a little, give you a better idea of the lead behind a task/email, and give you easy access to search leads by filter from the top right hand corner of every page.

So that you can get a better idea of the lead that a task/email relates to, you can now click the title of the email or task on the homepage to see more details.  The ‘defer’ task options have also been moved into this pop up box, and options to prioritise or unprioritise a task are also available.

The ‘Quick Search’ links which used to be found right under the summary on the homepage now appear when you click the ‘filter’ icon at the top right hand corner of every page:

Clicking ‘New Filter Search’ will take you to exactly the same place as when you click ‘Search Leads’ in the left menu.  All other options will open up a search for ‘all time’.

Better Task Scheduling

Until now, when creating a task for yourself or another user, the new task could conflict with existing tasks around the same time.

This evening, a new feature has been introduced that will alert you of any other potentially conflicting tasks.  Details of this and other updates are shown below.

  • Task Conflicts – When a task is being created/edited, other tasks within 15 minutes before or after the due time for the task being created/edited are now flagged up to the user.  The user can then schedule the task more appropriately if necessary.  When assigning a task to another user, for privacy reasons only the times of the conflicting task(s) are shown, rather than the full task details.
  • Permissions & Preferences – Changes to permissions and preferences (user or account level) now come into effect immediately rather than when the user next signs in.
  • Message Received Notifications – For users who don’t sign in to their account often, it’s now possible to get an email notification when a message arrives into their account.  To enable this option, visit ‘Settings > Users > Edit’ and tick the ‘Send Email Notifications When a new email or text message is received’ option.
  • Date & Time Formats – To improve consistency, all dates/times are displayed in the format ‘Tue, 19th Jan 2010 18:00′, or a subset of this.  Times in the 12 hour format have been dropped.

Upcoming Tasks

If you use FLG 360, you’ll know that most of the action centres around ‘Tasks’.  When a task is due or a message is waiting to be read, a notification shows in the top right of the display to notify the user.  The user can then click the notification to go to the lead summary or the message.

From this week, a new ‘Upcoming Tasks’ feature has been released which presents the user with a pop-up box of the next 5 upcoming tasks/unread messages so the user can choose which to deal with next.

To see Upcoming Tasks, click the link in the top right corner of the display if you have at least 1 task or unread message.

Add Documents, Better Bots & Task Notifications

A few new features have been released today.  This time the improvements are a mixed set picked out from the most common customer requests.

  • Add Documents to Leads – Click ‘New > Document’ to upload a document to a lead.  System management users can also delete documents.
  • Filter Lead Items – The old controls below the list of items associated with a lead has now been replaced with a drop-down box that lets you filter by the types of items you want to see, for example, select ‘View Documents’ to just see a list of documents.
  • ‘Task’ and ‘Bot’ Labels in ‘Search Leads’ - These indicate that there is an active task or active bot on the lead.  It will help you to check that all leads in a certain status have some kind of future action set.
  • ‘LastNoteDate’ and ‘LastNote’ Fields on Lead Export – The very last note added (and its date and time) now appear in these columns on lead exports.
  • Better Bots – Bots can now be set to start from 00:00 on the day that they are started, this means you can now have control on what hour of day things happen.  For example, have a task created in the morning and one in the evening.  There’s also an option to skip Saturdays and Sundays now.  The bots UI has also been improved, and information about running bots is much better.
  • Notify Users of Tasks by Email – You’ll see a new ‘Send Email Notifications: When assigned a task by another user’ option.  When tasks are created & assigned, or re-assigned by other users to a user with this option selected, an email will be sent as notification.  This is useful for users who don’t sign in to the system every day.

A Faster Way to Manage Tasks

An update this morning has introduced these new features and improvements:

  • Tasks (on both the homepage and lead summary) now include ‘defer’ quick links to defer the due date/time by 1 hour, 2 hours, 1 day, 2 days, or a week in 1 click:

  • A new ‘Copy Lead’ option has been added to the actions available on a lead.
  • When adding new leads through ‘New Lead’ or ‘Import Leads’, there is now the option to override duplication settings and save the lead even if a duplicate is found.
    • On ‘New Lead’, the duplicate message now contains the option to either create the lead anyway or to go to ‘Search Leads’ to find the existing lead.
    • In ‘Import Leads’, there is now an option on step 3 to ‘Ignore De-Duplication Settings’.  If this option is ticked, leads will be imported even if duplicates are found.

Team Manager Dashboard & Other New Features

The FLG 360 service has just been updated with some major new features:

  • New team management dashboard – let your Team Managers or Team Leaders see a summary and current task list for any user or group of users from their homepage.
  • New Redistribute Tasks feature – team management enabled users can now redistribute tasks and emails from one user or group to another user or group.  For example, if a user leaves the office for the day unexpectedly, all tasks due before the morning can be redistributed to another user.
  • Search Leads and Reports Centre now allows you to filter by user group – for example, you can see all leads assigned to users within a particular group.
  • New reports – Lead Weekday Report, Lead Hourly Report and User Task Response Report (shows the average time it takes each user to deal with tasks).
  • Capture Leads access for introducers – an introducer can now get access to the Capture Leads tool directly from their portal.
  • Partner permissions – you can now prevent a partner buyer from changing buying settings.

Quick Search Box & Task/Email Notifications

We’ve added a ‘Quick Search’ box to the top right hand corner of every screen – just type in a name or lead ID to go straight to the Search Leads screen to see all matching leads.

Also new to the top corner is a notification for emails or due soon/overdue tasks. Whenever an email is waiting, or when a task needs attending to, just click the link to go straight into the email or related lead. This also serves as a quicker way to go through many overdue tasks, rather than navigating back to the homepage to pick up each task, just click the link to jump to the next job.

Also in this update, there’s now a ‘Done’ link on each task/email on the homepage, and the old ‘View’ link on emails (which took you to the lead summary screen) has been replaced with a ‘Read’ link which jumps straight into the email.
